What payroll software do you use?
We use QuickBooks payroll (QuickBooks HDP). This keeps your payroll inside the same platform as your bookkeeping, so every payroll run automatically posts correct journal entries to your books. No reconciling between two systems, no exported CSVs, no guessing.
Do you handle payroll tax deposits?
Yes. Federal payroll tax deposits (via EFTPS) and state payroll tax deposits are included in our service. We monitor deposit schedules based on your deposit frequency classification and process deposits on time. Missing a payroll tax deposit triggers IRS penalties of 2–15% — this is one of the highest-value things we do for clients.
What about W-2s and quarterly 941 filings?
Both are included. We prepare and file your quarterly 941s, annual 940 (FUTA), state unemployment returns, and year-end W-2s and W-3. New hire reporting to the state is also included when you bring on a new employee.
My current payroll is a mess. Can you clean it up and take it over?
Yes — and this is common. Before taking over an existing payroll setup, we review what you have, identify any configuration issues or deposit discrepancies, and fix them before moving forward. We don’t inherit someone else’s mistakes — we find and correct them first.
I have a mix of employees and 1099 contractors. Can you handle both?
Yes. We process W-2 payroll for employees and can help with 1099-NEC preparation for contractors at year-end. If you’re unsure how workers should be classified, that’s something we flag during the onboarding review — misclassification is one of the IRS’s most audited issues.
How many employees can you handle?
Our standard payroll service covers businesses with up to 11 employees. If you have more, contact us — we’ll discuss options and let you know if we’re the right fit.
Do I need to be a bookkeeping client to use your payroll service?
We generally prefer to work with clients where we handle both bookkeeping and payroll — the integration is where the real value is. That said, contact us and we’ll discuss your situation. If you already have clean books and just need payroll handled, we can talk through what that looks like.
