We handle financial records, tax information, and cryptocurrency transaction data — information that is inherently sensitive. We take that responsibility seriously, and we only collect what we need to do the work.

When you contact us, fill out our intake form, schedule a call, or become a client, we may collect:

  • Business financial information (revenue, expenses, bank statements, QuickBooks data)
  • Cryptocurrency transaction history, wallet addresses, and exchange account data
  • Tax identification numbers and prior-year tax information (as needed to perform services)
  • Payroll information (if you use our payroll services)
  • Billing and payment details
  • Correspondence and notes from calls, emails, or intake forms

Information Collected Automatically

When you visit our website, we may automatically collect:

  • IP address and general geographic location (city/state level)
  • Browser type and device information
  • Pages visited, time on site, and referring URLs

Information from Third Parties

If you connect your QuickBooks Online account, exchange accounts, or crypto wallets to any tool we use in delivering services, we receive the data necessary to perform the work — no more.

  • Deliver services — bookkeeping, cleanup, diagnostics, crypto tax reconciliation, and payroll
  • Respond to inquiries — answer questions, provide quotes, schedule consultations
  • Communicate with you — send reports, status updates, requests for information, and invoices
  • Maintain client records — securely store financial records for the duration of the engagement
  • Improve our services — understand what's working and fix what isn't (aggregated, non-identifiable)
  • Comply with legal obligations — tax reporting, regulatory requirements, and professional standards

We do not sell your personal information. We do not use your financial data for any purpose other than providing the services you engaged us for.

3. Third-Party Services We Use

We use a limited set of trusted third-party tools to operate our business. Below is a summary of the key platforms and what they're used for. Each has its own privacy policy.

QuickBooks Online (Intuit)
Client bookkeeping, accounting, and payroll. Your QBO data is accessed only to perform the services you hired us for.
Airtable
Client intake forms on our website. Information submitted is stored in Airtable and used to respond to your inquiry.
Microsoft 365 / Outlook
Email, calendar scheduling, and client communication. We use Microsoft's cloud services for business operations.
Client Portal
Secure document exchange with active clients. Hosted at bugaboobookkeeping.clientportal.com.
Crypto Tax Tools
Koinly, CoinTracker, CoinLedger, ZenLedger, Awaken Tax — used to reconcile client crypto transactions. Only accessed with your explicit authorization.
ClickUp
Internal project and task management. Client names may appear in task references.
Credly
Displays professional credential badges on our website. Credly embeds may load external resources.
Google Analytics / WordPress
Website analytics (if enabled by our WordPress theme or plugins). Collects anonymized usage data to improve the site.

We only authorize these platforms to use your data for the purposes listed above. We do not grant third parties permission to use your information for their own marketing or advertising.

4. Financial & Cryptocurrency Data

Because we provide bookkeeping and crypto tax services, we inevitably handle sensitive financial information. We treat this data with extra care:

  • Financial records are accessed only by team members working on your engagement
  • We do not store bank credentials — read-only bank feed access in QuickBooks is controlled by Intuit's platform
  • Cryptocurrency wallet addresses and transaction history are used solely to reconcile your tax position — not for any blockchain activity on our end
  • We do not retain source documents (statements, CSV exports) longer than necessary to complete the work
  • All electronic communication of sensitive files uses encrypted channels or our secure client portal

Professional obligation: As bookkeeping and tax professionals, we are bound by professional confidentiality standards. Your financial information is not discussed with third parties except as required to perform your services (e.g., sharing reconciled data with your CPA) or as required by law.

5. Cookies & Analytics

Our website may use cookies — small text files stored in your browser — for the following purposes:

Strictly Necessary

Required for the site to function (e.g., WordPress session cookies, contact form tokens). These cannot be disabled without breaking the site.

Analytics

If our WordPress theme or plugins enable Google Analytics or a similar tool, anonymized usage data (pages visited, session duration, general location) may be collected. This data helps us understand what content is useful and improve the site. It is not linked to your identity.

Third-Party Embeds

Our site embeds third-party tools including the Airtable intake form, an Outlook calendar booking widget, and Credly badge widgets. These services may set their own cookies when their content loads in your browser. We do not control those cookies — refer to each provider's privacy policy for details.

Most browsers allow you to control or block cookies through browser settings. Disabling cookies may affect the functionality of embedded forms and the booking calendar.

7. Data Retention

We retain your information for as long as is necessary to:

  • Fulfill the services you engaged us for
  • Comply with our professional obligations (bookkeeping and tax records are generally retained 7 years per IRS guidance)
  • Resolve disputes and enforce agreements
  • Meet applicable legal and regulatory requirements

Website inquiry data (intake form submissions, scheduling data) that does not result in an engagement is retained for up to 24 months, then deleted or anonymized.

8. Security

We take reasonable technical and organizational measures to protect your information from unauthorized access, disclosure, alteration, or destruction. These include:

  • HTTPS encryption on all web pages and form submissions
  • Secure client portal for document exchange
  • Access controls limiting who can view client financial data
  • Use of platform-level security features in QuickBooks Online, Microsoft 365, and Airtable
  • Regular review of what data we hold and where

No method of transmission or storage is 100% secure. If you have concerns about a specific type of data, contact us and we'll discuss the most secure way to handle it.

If we become aware of a data breach that affects your personal information, we will notify you in accordance with applicable law.

9. Your Rights

Depending on where you live, you may have rights regarding your personal information. These may include:

  • Access — request a copy of the personal information we hold about you
  • Correction — ask us to correct inaccurate information
  • Deletion — request deletion of your personal information, subject to our legal retention obligations
  • Portability — receive your data in a portable format
  • Objection — object to certain uses of your data
  • Opt-out of marketing — unsubscribe from any marketing emails at any time using the unsubscribe link in the email

Washington State residents may have additional rights under the Washington My Health MY Data Act or other state privacy laws. We will honor valid requests in accordance with applicable law.

Note on professional records: Some financial records are subject to professional and legal retention requirements that may limit our ability to delete them immediately upon request. We'll explain any such limitations when we respond to your request.

10. Children's Privacy

Our website and services are intended for adults running businesses or managing personal investment accounts. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected information from a minor, please contact us immediately at info@bugaboobookkeeping.com and we will delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we'll update the "Last Updated" date at the top of this page. For material changes, we'll provide more prominent notice (such as an email to active clients or a notice on our website).
