Which Transactions Drive Your Washington Sales Tax Liability?

The fastest way to explain a Washington sales tax balance in QuickBooks is to trace it to the invoices, sales receipts, credit memos, and payments behind the report. Start with one filing period and compare the transaction detail with the return filed in MyDOR.

Start with the Sales Tax Liability Report

Run QuickBooks’ Sales Tax Liability Report for the same period used on the DOR return. Review gross sales, non-taxable sales, taxable sales, and tax collected. Open the transaction detail behind an unexpected amount. QuickBooks’ report and calculation features are described in Intuit’s report guide. The screen labels may differ by QuickBooks tax setup.

For each exception, record the customer, date, item or service, taxable amount, location, rate, tax amount, and reason for any exemption. Review credits and refunds alongside the original sale so you do not mistake a reversal for new activity.

Check taxability before changing the rate

The same customer can buy taxable and non-taxable items. Washington also changed the treatment of certain services effective October 1, 2025. Check the actual activity against DOR’s current service guidance. A QuickBooks item labeled “service” does not decide the legal classification.

For a claimed resale exemption, keep a valid reseller permit or other approved documentation. DOR explains the seller’s documentation duties in its reseller permit guidance.

Check where the sale belongs

Washington’s local sales tax sourcing follows where the customer receives the product, digital good, or retail service, with additional rules and exceptions. Compare the transaction’s location data with the DOR sourcing sequence. Do not substitute a billing or shipping address automatically when it does not describe where the sale was received.

Reconcile the liability to the return

The Sales Tax Payable balance is affected by tax charged and payments recorded. A MyDOR withdrawal may also contain B&O tax, penalties, or interest, which need separate treatment. Compare the filed return, payment confirmation, and QuickBooks entries. Do not force the account to zero if a later filing period remains unpaid.
